What Information Do You Need For An Accurate Apparel Quotation?
Share
For fashion brands, designers and D‑to‑C sellers reaching out to apparel manufacturers, requesting a price quote seems straightforward. Many buyers simply send a short message saying “quote me price”, without sharing key project details. This often leads to back‑and‑forth emails, inaccurate pricing, delayed replies and frustrating misalignment between brands and factories.
Without complete project information, our team can only provide rough estimated prices, which frequently shift once real requirements surface. As a full‑category apparel manufacturer covering knitwear, woven garments and denim, Loudania aims to deliver precise, transparent quotations for global clients including European fashion labels. This article breaks down exactly what information you should prepare before sending your RFQ, to speed up the whole process and reduce unnecessary email exchanges.
Essential details for getting an accurate apparel quote
Collect the following items before submitting your request. Providing all of them at once helps our sales team understand your full project scope and return a formal breakdown quickly.
1. Design reference: Tech‑pack or clear reference images
This is the foundation of every quotation.
• Option A: Complete tech‑pack
A full tech‑pack including design sketches, construction notes, stitch details, trims list and spec sheets is ideal. It removes most guesswork for our development and pricing team.
• Option B: Reference photos + written description
If you do not have a finished tech‑pack, please supply sharp front, back and side photos of your target style. Add written notes about unique design features such as special cuts, openings, embellishments or custom details.
Vague descriptions like “similar to this sweater” will result in approximate pricing only.
2. Fabric requirements
Share your fabric specifications clearly:
• Exact fabric composition and weight (for example 280gsm organic cotton jersey, heavy‑weight denim)
• Whether you will use existing stock fabrics or require custom‑woven / custom‑dyed materials
• Preferred colour references: Pantone codes, colour swatch photos or physical swatch shipment arrangements
Fabric choice heavily impacts final unit cost, MOQ and lead‑time.
3. Size range & size specs
Tell us which sizes you plan to produce, for example XS‑XL, EU 34‑42.
If you have finished size measurement tables, attach them. If not, specify your target market sizing standard: EU sizing, US sizing, UK sizing or your brand’s proprietary size set.
Different size ranges affect pattern work, sampling cost and overall production cost.
4. Estimated order quantity
Please provide your projected order volume. Separately state sample quantity and bulk order quantity.
Even approximate numbers are helpful. Prices change significantly between small‑batch test runs and large‑volume mass production. Let us know if you plan to place trial orders before scaling up.
5. Target sales market
Inform us which country or region your garments will be sold into.
Different markets come with different compliance requirements, including labelling rules, REACH restrictions, fibre labelling standards and import regulations. Knowing your target market allows us to factor in relevant compliance considerations in our proposal and remind you of potential risks. We work extensively with European fashion brands and are familiar with EU apparel import standards.
6. Custom branding, labels and packaging requirements
Outline your private‑label needs:
‑ Custom neck labels, size labels and care washing labels
‑ Custom hang‑tags, swing tags, barcodes or SKU printing
‑ Branded polybags, tissue paper, insert cards or gift boxes
‑ Special export carton marking instructions
If you require neutral unbranded garments with no custom trims, also state this clearly. Custom trims carry separate setup costs and should be calculated into your quotation.
7. Expected lead‑time & delivery timeline
Share your ideal timeline:
‑ When do you need sample sets completed?
‑ What is your target ready‑to‑ship date for bulk goods?
We will compare your expectation against our factory production schedule. If your requested timeline is tight, we can communicate realistic alternatives upfront instead of discovering scheduling conflicts later in cooperation.
Why sending full information benefits both sides
Many buyers hold back details hoping for a quick number first. In practice, incomplete RFQs create these common pain points:
1. Multiple rounds of follow‑up emails chasing missing information, slowing down your whole project
2. Initial estimated price differs greatly from final formal quotation
3. Misunderstanding around trims, compliance or production scope
When you submit all requirements in one go, our team can return a complete quotation including unit price, sample cost, MOQ, lead‑time and trim expenses. It filters vague low‑intent inquiries and lets us focus on serious brand projects.
